What Data We Collect and Why

When you contact us or request a briefing

If you submit the inquiry form, we collect the details you provide — your name, work email, organization, the nature of your inquiry, and any optional sector or message. We use these solely to respond to your inquiry and to assess a potential business relationship. The form on the briefing page is provided and hosted by HubSpot, the customer relationship management system we use to manage business contacts, and your submission goes directly to them and is recorded there. HubSpot processes it in its EU data center under standard contractual clauses. Because the form is a HubSpot component, it is requested from HubSpot when the briefing page opens, which discloses your IP address and browser details to them at that point — before you enter anything. No form loads on any other page of this site.

  • Lawful basis: taking steps at your request prior to entering into a contract, and our legitimate interest in responding to business inquiries (GDPR Article 6(1)(b) and 6(1)(f)).
  • Retention: we keep inquiry data for as long as we need it to respond to you and to keep a record of the inquiry, and delete it when it is no longer required for that purpose unless a business relationship is established.

When you browse the site

Our hosting provider (Cloudflare) processes limited technical data — such as your IP address — as part of delivering and securing the site. This is necessary to operate the service and protect it against abuse.

  • Lawful basis: our legitimate interest in a secure, functioning website (Article 6(1)(f)).

Cookies and Similar Technologies

We keep cookies to a minimum. We do not use advertising or cross-site tracking cookies. The table below lists what may be set.

Two third-party components load without being clicked: product videos, which are requested from Vimeo as they scroll into view, and the inquiry form, which is requested from HubSpot when the briefing page opens. Both are functional rather than advertising or analytics components, both run without site-wide tracking, and neither is used to profile you across sites. Everything else — including the product configurator — loads only when you choose to open it. Strictly necessary cookies do not require consent under the ePrivacy rules.

Third Parties and International Transfers

We rely on a small number of processors to run the site and respond to you:

  • Cloudflare — hosting, security, and delivery of the site and the inquiry function.
  • Resend — delivering inquiry emails to our team.
  • HubSpot — our customer relationship management system, and the host of the inquiry form itself. The form is requested from HubSpot when the briefing page opens, and details you submit go to HubSpot and are recorded there so we can respond and keep track of the conversation. Data is processed in HubSpot’s EU data center under standard contractual clauses.
  • Vimeo — video hosting. Players load as they scroll into view and run in do-not-track mode.
  • Product configurator (hosted on Replit) — loaded only if you open it; processes the details you submit with a quote request (name, company, email, message).
  • The resource hub embedded on our Resources page is operated by us on our own subdomain.

Some of these providers may process data outside the EU/EEA. Where that happens, transfers are covered by appropriate safeguards such as the EU Standard Contractual Clauses.

Your Rights

Under the GDPR you have the right to access, correct, delete, restrict, or object to our processing of your personal data, and to data portability. Where processing is based on legitimate interest, you may object at any time.

To exercise any right, email privacy@sapientperception.ai. You also have the right to complain to the Danish Data Protection Agency (Datatilsynet) or your local supervisory authority.
